About this opportunity
We are recruting an Administration Assistant to work with Access Services’ senior management team, to provide comprehensive support for all aspects of the department’s operations, including being responsible for all aspects of the Unit’s purchasing, dealing with clients, suppliers and visitors, keeping records and general administrative duties. This job reports into the Head of Production UK, Access Services.
What you will do
- To support the Head of Production UK, liaising with facilities management including landlords and CBRE on any accommodation-related issues.
- To provide assistance to the Access Services management team and to members of Access Services across the UK, undertaking defined work on projects such as recruitment, liaising with other departments in arranging resources for homeworkers and office based staff, assisting with all external purchasing, arranging travel for staff and liaising with clients and third parties.
- To undertake the maintenance of all records and systems used by the Glasgow Unit.
- To order and maintain office equipment, stationery and furniture as required by all Access staff in accordance with guidelines and budgets.
- To minute meetings as required.
- To build and maintain contacts lists and databases, relating to all aspects of Access Services’ UK operation.
- To be responsible for own health and safety and have awareness for others.
- To be responsible for arranging the reward and recognition scheme and distribution and maintaining records
- To arrange and maintain up to date records of Voicecare Training bookings
- To be responsible for monthly review of freelancer billing and liaise with Resources Manager and area managers in checking and allocating costs.
You will bring
- Experience in a role where support for managers is proven.
- Experience of maintaining office and administrative systems.
- Exercise tact, diplomacy and discretion and to respect confidentiality at all times.
- A self-starter with effective time-management skills and the ability to exercise initiative and to work unsupervised to deadlines.
- Calm under pressure with the ability to manage a dynamic work load and changing priorities.
- Excellent telephone manner with experience of dealing with people at all levels by telephone, e-mail and face-to-face.
- To have an interest in and an awareness of the work of Red Bee Media.
- Experience of working in a financial role, and processing costs and expenditure.
